Navigating the Reviewer Experience in mySigEp

Please watch the following video below to learn more about the reviewer experience in mySigEp. This video will outline navigating to your "Buchanan Cup Applications" dashboard, accessing a chapter's application and submitting your feedback/review all in mySigEp. Step-by-Step Instructions:

Accessing your "Buchanan Cup Applications" dashboard

  1. Login to mySigEp.
  2. Click "Buchanan Cup Applications" in the top left next to the large red mySigEp logo. 
  3. This page will show you all the applications assigned to you to review and the review status (i.e. in progress or completed). A blank review status means a review has not been started. 
  4. Clicking "Access Chapter" will bring you to a chapter's homepage in mySigEp which includes their Buchanan Cup Application and additional chapter information.
  5. Clicking "Submit/Update Your Review" will open up the review form to submit your feedback. 

Accessing a Chapter's Buchanan Cup Application

  1. Click "Access Chapter" for the chapter you'd like to review.
  2. On this page, you will see the application, roster, and other helpful tools at your disposal for each chapter assigned to you. As you look at each chapter’s main page, you’ll primarily be utilizing the Buchanan Cup Application Review and Dashboards icons. 
  3. If you hold multiple roles in the fraternity (ex: a Buc Cup reviewer + District Governor), please make sure you choose “View As: Buchanan Cup Reviewer” in the top left-hand corner as seen above. If don't have a drop down menu in the top left, you can ignore this step. 
  4. Click "Buchanan Cup Application Review" to access a chapter's application. You’ll see a new screen with reviewer instructions and more icons. This is how you can access each section of the app plus their supplemental documents (and it also provides you with a button to bring you back to your assigned chapters to review).                         
  5. Click into the appropriate section that you would like to review. Subject matter expert reviewers will have access to all sections, but are asked to only give feedback on their assigned sections. 
  6. The supplemental documentation section is broken down into three groupings of documents: general documents that were submitted along with their application (i.e. photos, bylaws, calendar, etc.), letters of recommendation including a staff objective assessment and finally, finance documents (i.e. budgets and tax filing) that were included in the chapter's finance dashboard. Simply click "download" for the files you'd like to review. If a chapter didn't upload a specific file (i.e. monthly/annual financial report), a download button will be unavailable.

Submitting Your Feedback/Review

  1. When you're ready to submit your review, return to your Application Dashboard by clicking "Return to Application Dashboard to Submit Review".
  2. Click "Submit/Update Your Review" for the chapter you're ready to submit a review for. This will open up the form necessary to complete your review.
  3. Each row/category that exist on the rubric translates to 3 questions on the form which mirrors the spreadsheet that was provided in years past:
    1. For ease of review, the form shows you (at a glance) what everything from unsatisfactory to exceptional chapter performance looks like. Start by selecting a rank (i.e. exceptional, meets expectations, needs improvement, or unsatisfactory) that best describes the chapter in the specified category.
    2. Then answer the question "What stood out about this category? How is the chapter exceeding expectations?". This field will not accept over 1,000 characters. Each letter, space, and punctuation mark counts as a character.
    3. Finally, answer the question "What ways can the chapter improve in this area? How is the chapter under-performing in this area?". Similar to the previous field, this field only accept 1,000 characters.
       
  4. To complete a review, a rank needs to be selected for every category in the form. A review status will be marked as "In Progress" if at least one ranked question is answered and at least one ranked question is left blank.
  5. Although the two open-ended feedback responses questions are optional, the feedback you submit is critically important as it's used to create a letter for each chapter who applied, outlining their successes and opportunities for improvement.
  6. At the bottom of the form, every reviewer will be asked the same three questions as seen below. Please be sure to answer them to the best of your ability. 
  7. If you would like to save your progress or submit your review, remember to hit the purple "Save" button at the bottom of the form. 
  8. After submitting your review or saving your progress, give the system a moment to process your submission and it’ll appear on your assigned chapters page.
